Privacy Policy

Last updated: October 28, 2026

This policy explains what information we collect through ITAM Portal (the "portal"), how we use it, and who we share it with.

Information we collect

  • Account details: your name, email address, role, and the organization you belong to, as entered by the administrator who invited you.
  • Sign-in details: a hashed password if you set one, the public part of any passkey you register, and your two-factor settings.
  • Pickup records: the locations, site contacts (names, email addresses and phone numbers), equipment lists, serial numbers, signatures and notes recorded for each pickup.
  • Technical details: the IP address and browser type recorded with each sign-in session, and security logs of sign-in attempts.

Signing in with Google

If you choose to sign in with Google, we ask Google only for basic sign-in information:

  • your Google account ID
  • your email address, and whether Google has verified it
  • your basic profile (name and profile picture), which Google includes with sign-in

We use this information only to confirm who you are and match you to the account an administrator created for you. We store your Google account ID and the sign-in tokens Google issues with your account. We do not request access to your Gmail, Google Drive, Calendar, contacts or any other Google data. We do not sell Google user data, use it for advertising, share it with anyone except as needed to run the portal, or use it to train AI or machine-learning models.

Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. You can remove the portal's access to your Google account at any time from your Google Account permissions page.

How we use information

  • to run the portal: scheduling, carrying out and documenting pickups
  • to send the emails the portal sends, such as invitations, pickup notices and paperwork
  • to keep accounts secure, for example by limiting repeated sign-in attempts
  • to answer support requests

We do not sell personal information and we do not use it for advertising.

Who we share it with

  • People in the portal:a pickup's records are visible to the authorized users of the client it belongs to, and to our staff and partners who carry it out.
  • Service providers: Amazon Web Services hosts the portal, stores its files and delivers its email. Google provides Google sign-in and the address search on location forms, which sends the address you type to Google Maps Platform.
  • Legal reasons: when required by law, or to protect the rights and safety of our users or ourselves.

Cookies

The portal uses only the cookies it needs to keep you signed in and to secure sign-in. It remembers your light or dark display choice in your browser. It uses no advertising or analytics cookies.

Storage and retention

Information is stored on Amazon Web Services servers in the United States and sent over encrypted (HTTPS) connections. We keep account details while your account is active, and pickup records for as long as our agreement with your organization and the law require.

Your choices

To see, correct or delete your information, contact your organization's administrator, who will pass the request to us where needed. Some pickup records may need to be kept for your organization's or our legal obligations.

Children

The portal is a business tool and is not meant for children.

Changes

We will update the date at the top of this page when this policy changes, and tell users of significant changes by email or in the portal.
